About the role

This is an onsite role that provides direct office management and laboratory management support for Perceptive’s Needham office in Massachusetts.

Key Responsibilities

Needham Site Administrative support

• Serve as the first point of contact for onsite visitors and customers, ensuring professional and welcoming experience.
• Manage incoming and outgoing office mail, including sorting and distribution.
• Coordinate meeting room scheduling and ensure rooms are properly prepared for internal and external meetings.
• Support site logistics, including organizing local events, coordinating catering and owning the guest management systems (i.e. HybridHero/Greetly) for the Needham office.
• Order and maintain office supplies, including stationery and general office materials.
• Oversee kitchen supply inventory, restocking as needed, and coordinate office lunches and team meals.
• Support HR with onboarding activities, including new hire preparation and orientation logistics.
• Assist with social committee initiatives and employee engagement activities.
• Support Operations, Facilities, IT, and HR teams in developing and distributing company-wide communications to ensure employees are informed and connected to key resources.

Laboratory Support

• Provide administrative and clerical support to Discovery Lab Leadership.
• Support office and lab procurement processes, including purchasing and vendor coordination.
• Assist with project coordination to support lab operations and study execution.
• Provide shipping and receiving support for lab materials, supplies, and study-related items.
• Work with lab management team to manage inventory and ordering of lab consumables to ensure uninterrupted laboratory operations.
• Provide finance and budget support related to lab operations, including tracking expenses and coding invoices.

Experience, Education, and Certifications

• High School degree/some college or trade school preferred
• 2 - 5 years of transferable work or educational experience

• Ability to solve problems effectively; think critically and work independently to solutions
• A demonstrated track record of proactivity/desire to get the job done
• Professional and friendly attitude; excellent communication skills – a “people person”
• Proficiency in Microsoft Office programs and ability to learn company-specific computer systems
• Keen attention to detail and exceptional organizational skills
• Highly professional attitude along with ability to multi-task and pivot focus effectively
• Ability to be hands-on, function independently, and take ownership in an innovative work environment

This role is based in the Perceptive office located in Needham, MA.  The hourly pay range for this role is $22 - $42/hr.  This range represents the anticipated initial hourly pay and may vary depending on several factors including the candidate’s experience and skills and may be subject to market rate adjustment.
