The Manager, Commercial Asset Management & Operations is responsible for the end-to-end management of commercial materials and field assets across U.S. brands. This role oversees print production, inventory planning, warehousing, fulfillment, distribution, and compliant disposition of promotional and educational materials.
The Manager also provides project management and operational support across Commercial Operations, including field enablement, PRC coordination support, regional events, speaker programs, and business systems. The role coordinates timelines, deliverables, dependencies, risks, testing, training, and cross-functional activities for key initiatives and serves as a central operational partner for Commercial operations team.
Key Responsibilities
Commercial Asset Management
• Oversee the lifecycle of print and physical commercial assets, from approved content and production planning through distribution, replenishment, retirement, and compliant destruction.
• Maintain visibility into active, expiring, obsolete, and discontinued materials to support timely business decisions.
• Coordinate asset updates associated with launches, new indications, labeling changes, brand revisions, and other business requirements.
• Partner cross-functionally to ensure approved materials are available when needed and establish consistent asset management processes, documentation, trackers, and governance.
• Support the operational coordination of approved modular and reusable content within Veeva PromoMats, as applicable.
Print Production
• Manage end-to-end production of promotional, educational, training, and field-facing materials.
• Coordinate specifications, quantities, schedules, proofs, approvals, and delivery timelines with internal stakeholders, agencies, and print vendors.
• Review printer proofs and confirm required approvals before materials proceed to production.
• Proactively address quality, cost, supply, or scheduling issues and identify opportunities to improve turnaround time, efficiency, and waste reduction.
• Support production planning for product launches, label updates, campaigns, field meetings, and other critical commercial milestones.
Warehousing, Inventory & Fulfillment
• Oversee third-party warehousing, inventory management, fulfillment, distribution, rework, and compliant destruction of commercial materials and educational assets.
• Manage field ordering and direct-to-representative fulfillment programs, including platform administration and operational support.
• Monitor inventory, utilization, fulfillment activity, and stock levels to support timely replenishment and minimize backorders, excess inventory, and waste.
• Coordinate material rework, relabeling, kit revisions, and replacement of outdated components, as needed.
• Manage scheduled shipments and collaborate with brand teams and suppliers on the planning, sourcing, assembly, inventory, and distribution of field and patient-support kits.
• Coordinate print production, assembly, inventory, replenishment, and fulfillment of patient starter kits and other patient-support resources, including distribution to designated specialty pharmacy partners.
Commercial Operations Project Management
• Lead and coordinate cross-functional Commercial Operations projects from initiation through implementation and closeout.
• Develop project plans that define scope, deliverables, milestones, owners, dependencies, risks, and decision points.
• Facilitate project meetings, prepare agendas, document decisions, maintain action logs, and communicate status to stakeholders.
• Coordinate activities across Commercial Operations and partner functions, agencies, and vendors.
• Identify risks, barriers, and resource constraints and facilitate timely escalation and resolution.
• Support launch readiness and other high-priority initiatives by coordinating operational deliverables and tracking execution.
• Develop repeatable project management tools, templates, dashboards, and governance processes, and lead practical process improvements.
Vendor Management
• Serve as the primary operational contact for print, warehousing, fulfillment, logistics, and related third-party vendors.
• Establish operating expectations, timelines, service levels, and escalation processes, and monitor vendor quality, delivery, performance, and issue resolution.
• Partner with Procurement and Finance on vendor selection, contracting, purchase orders, invoice reconciliation, budget tracking, and financial planning.
• Identify opportunities to improve vendor performance, operational efficiency, and cost effectiveness.
PRC Coordination
• Manage OPDP submission execution across the brand portfolio, ensuring alignment and timely completion
• Lead PRC agenda planning and facilitation to optimize review efficiency and stakeholder engagement
• Serve as the primary liaison for Veeva PromoMats IT requests, driving resolution and process improvements
• Ensure continuity by providing backup support for PRC Process Lead team responsibilities
Field Support & Communication
• Serve as a primary point of contact for field inquiries related to materials, ordering, inventory, shipments, and fulfillment.
• Provide timely communication regarding new materials, availability, ordering instructions, back orders, replacements, and material retirement.
• Troubleshoot ordering and fulfillment issues with field teams and vendor partners.
• Develop job aids, training materials, and onboarding support for ordering and asset management processes.
• Gather field feedback and translate recurring needs into operational improvements.
• Coordinate field onboarding and offboarding activities related to materials, ordering platforms, resource access, and operational processes.
• Administer field ordering and resource platforms, including user setup, access management, testing, training, and ongoing system enablement.
• Review and resolve orders outside established business rules and ordering guidelines, escalating exceptions when appropriate.
Operational Excellence & Compliance
• Ensure asset production, storage, fulfillment, and distribution activities follow company policies, SOPs, approved business rules, and applicable promotional requirements.
• Maintain documentation and operational records to support internal controls and inspection readiness.
• Establish and monitor performance measures for production, inventory, fulfillment, service levels, project delivery, and vendor performance.
• Analyze operational trends and recommend improvements that enhance service, scalability, cost efficiency, and field experience.
• Support the continuous improvement of Commercial Operations processes and ways of working.
Qualifications
• Bachelor’s degree in business, marketing, operations, project management, or related field.
• 5+ years of relevant experience in commercial operations, marketing operations, print production, asset management, fulfillment, project management, or related function.
• Experience in the pharmaceutical, biotechnology, medical device, or another regulated industry is strongly preferred.
• Demonstrated experience managing print production, warehousing, inventory, fulfillment, logistics, or field asset programs.
• Strong project management capabilities, with experience managing multiple workstreams, stakeholders, deadlines, risks, and dependencies.
• Experience managing external vendors, budgets, service expectations, and operational performance.
• Knowledge of pharmaceutical promotional material workflows and compliance requirements preferred.
• Experience with Veeva PromoMats, field-ordering platforms, inventory or fulfillment systems, and Microsoft Office.
• Project management or process improvement certification, such as PMP, Six Sigma, Scrum, or Agile, is a plus.
• Experience with user acceptance testing, training, platform administration, and operational issue resolution is preferred.

The estimated salary range for this position is $150 - $160K. Actual salary determination is dependent on a variety of factors, some of which include: experience, qualifications, and geographic location. This position may be eligible for a discretionary annual bonus or an incentive compensation plan (eligibility varies based on role and position level), discretionary stock-based long-term incentives, paid time off, and a comprehensive benefits package.
