A. PURPOSE OF POSITION
Responsible for leading the strategy, implementation, and continuous enhancement of the Distribution Management System (DMS) to drive sales excellence, productivity, and digital transformation initiatives (e.g., Zalo OA, AI analytics, Loyalty systems).
- Drive DMS Operations Excellence:
o Act as the DMS business process custodian, overseeing daily operations, system enhancements, and automation projects.
o Manage master/transaction data, ensure system security, and oversee help-desk support for the sales force.
o Manage the DMS budget and lead team development to ensure continuous capability growth.
- Stakeholder Management (Vendors & Business Owners):
o Partner closely with Business Owners to align system capabilities with current and future sales strategies.
o Manage technology Vendors to ensure effective delivery, system integration, and seamless project execution.
B. KEY ACCOUNTABILITIES
1. Drive DMS Operations Excellence & Data Governance
• Act as the DMS business process custodian, overseeing daily operations, system enhancements, and automation projects.
• Manage master/transaction data, ensure system security, and oversee help-desk support for the sales force.
• Develop and enforce DMS master data and transactional data governance frameworks.
• Ensure data accuracy, integrity, and timeliness across all systems. Maintain strong system hygiene and governance practices.
• Drive daily data automation initiatives (e.g., automated FF HC data synchronization) to reduce manual workloads and streamline operational workflows.
• Ensure timely resolution of system issues for Sales teams and distributors.
2. Digital Transformation & Omnichannel Integration
• Lead integration of DMS with Zalo OA to enable:
o Order placement & re-ordering by retailers/distributors
o Promotion communication & engagement
o Customer service automation
• Collaborate with Marketing/CRM teams to integrate Loyalty platforms:
o Trade loyalty programs (for retailers/distributors)
o Consumer engagement programs linked with DMS data
• Leverage AI and advanced analytics to:
o Predict sales trends and demand patterns
o Optimize route planning and sales coverage
o Personalize promotions and recommendations
• Ensure seamless data flow across DMS – CRM – ERP – Loyalty – Digital platforms.
3. System Data & Process Governance & Report.
• Develop and enforce DMS master data and transactional data governance frameworks.
• Ensure data accuracy, integrity, and timeliness across all systems.
• Design and standardize DMS operational processes to ensure efficiency and compliance.
• Maintain strong system hygiene and governance practices.
• Collaborate with SFE, MIS, IT, and Sales teams to ensure compliance with data governance processes.
• Continuously enhance data structures to meet evolving business requirements.
• Partner with BI/MIS teams to develop integrated dashboards.
• Continuously enhance data structures to meet evolving business requirements.
4. System Security & Data Privacy
• Work closely with IT to ensure system security and data privacy compliance.
• Implement robust authentication, authorization, and access control mechanisms.
• Ensure compliance with internal policies and external regulations.
5. Project & Vendor Management
• Lead DMS-related projects (rollout, upgrades, integrations).
• Manage external vendors for system development and customization.
• Ensure project delivery within scope, timeline, and budget.
6. Budget Management
• Prepare and manage annual budget for DMS operations and enhancements.
• Track and control spending to ensure budget accuracy and efficiency.
7. Team Management & Capability Building
• Lead and manage the DMS team’s daily operations.
• Define team structure, roles, and responsibilities.
• Build team capabilities through coaching, training, and development.
• Set performance objectives and drive high performance culture.
