We are looking for a professional and organized individual who will serve as the essential link between our technical teams and our customers to ensure that scientific laboratories across Spain operate without interruption.

As a Spain Scheduling Coordinator WorkLoad Administrator, you will take full ownership of the service calendar. Your work ensures that when a piece of laboratory equipment needs atention, the right engineer arrives at the right time with the right parts. You will work closely with technical experts to prioritize urgent repairs and manage the daily logistics of our field operations.

Responsabilities

  • Service Scheduling: Coordinate and plan the daily calendars for Field Service Engineers and authorized partners to perform onsite repairs and maintenance.

  • Order Management: Create and manage service orders and technical requests within our business system (SAP).

  • Logistics Coordination: Ensure all necessary spare parts are ordered and shipped to the correct locations before the engineer arrives.

  • Financial Administration: Prepare price quotes for customers and manage incoming Purchase Orders (PO) for service work.

  • Priority Planning: Organize onsite visits based on urgency, customer contracts, and specific management requests.

  • Customer Relations: Handle inbound inquiries, negotiate visit timelines with customers, and keep them informed throughout the scheduling process.

  • Quality Compliance: Follow established company procedures and quality standards to ensure every job is documented correctly.

Qualifications

Qualifications and skill requirements:

  • Academic background in technology, engineering, or equivalent experience in a similar role, with proven customer service or project management experience.

  • Strong planning, organizational, and problem-solving skills, with the ability to work independently in a fast-paced environment.

  • Excellent communication, negotiation, and teamwork abilities, with a proactive and solutions-oriented mindset.

  • Fluent in Spanish and English is a must.

On a personal level, you possess great problem solving / analytical skills, and you are eager to learn about new software technology, instruments, applications, and consumables. You have communication/ interpersonal skills to interact at various levels, and you strive to provide excellent customer support. You enjoy both working within a team and autonomously.

Additional Details

This job has a full time weekly schedule. It includes the option to work remotely.

Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
