The Workforce Administration Analysts (WFA) are foundational and employee data experts who are accountable to ensure organization structures and foundational hierarchies in the human capital management (HCM) system are accurate. The Senior Specialist, Workforce Administration (WFA) – based in Warsaw with Fixed Term contract - provides the capabilities to create, display, change, or delete data related to the foundational and organization structure in the system. The Analyst uses advanced skills and understanding of the entire worker life cycle to ensure data integrations are accurate throughout all human resources systems. The role ensures employee lifecycle transactions are executed accurately, compliantly, and in accordance with global standards, local employment legislation, payroll requirements, and service level agreements.

 

Key Responsibilities:

 

• Receive customer inquiries on issues related to HCM structure and worker data, translate customer needs and applies appropriate technical solutions to reach anticipated outcomes.
• Analyze and monitor daily the WFA team assignment group via case management system and the WD inbox, in order to understand trends in case volume and incoming transactions and to ensure these are being managed accurately and timely according to the priorities
• Support the integrity of employee records and ensure data accuracy for Workday, by following controlled data management and governance practices, including system audits to align with legal and regulatory compliance
• Oversee the maintenance of organizational structures and foundation values that enable workflow capabilities in the Workday system, including the creation / edit / removal of organizations, positions, jobs, pay groups, departments
• Apply country/local level regulatory rules to the movement of all data and execution of employee statuses with the company, ensuring all activities meet required deadlines, payroll, and documentation outputs
• Manage worker data updates via efficient manual processes or controlled mass uploads (e.g. Workday EIB)
• Understand business structure requirements to coordinate and create solutions for managing significant restructures, mergers, acquisitions, divestitures and other organization changes, including reductions that lead to separations from the company
• Perform system data extracts and testing to ensure data accuracy and alignment to global standards
• Collaborate with alternate HR Services centers to ensure global standards are applied in HCM structure management
• Support initiation and completion of International Assignment, International Permanent Transfers, Cross-company transfers workflows
• Support ad hoc research at global level with advanced reporting tools to support data analysis and insight
• Provide high touch customer service that meets expected service levels and business performance goals.
• Create & maintain process documentation in the established templates (LWIs) by following the global guidance to do so
• Find efficiencies between processes across all systems/processes and myBMS content and work collaboratively within the HR team to share ideas, ownership, and accountability for driving improvements and consistency of execution for key HR processes, across the regions and functional areas
• Participate and deliver in scheduled and ad hoc training in order to improve process acumen, and apply the learnings in executing their role

 

Absence Administration

• Administer employee leave and absence programs in accordance with local legislation, company policy, and operational procedures.
• Process leave, time off, vacation, holiday, and absence transactions accurately and within agreed service levels.
• Execute individual and mass absence updates in Workday and other HR systems.
• Act as an escalation point for complex absence administration cases and coordinate with HR Advisors, Payroll, vendors to resolve issues.
• Interpret leave policies, payroll impacts, and operational procedures to support HR Advisors and business stakeholders.
• Support business validation and testing activities for absence-related system enhancements to ensure operational readiness.
• Monitor absence transactions and case queues to ensure timely completion, data accuracy, compliance, and achievement of service level agreements (SLAs).

Severance & Exit Administration

• Administer involuntary employee termination processes including redundancies, reorganizations.

• Prepare, validate, and quality review severance calculations, statutory payments, termination documentation, and payroll inputs.

• Execute employee termination transactions accurately in Workday and ensure all related activities are completed within payroll and legal timelines.

• Coordinate with HR Advisors, Employee Relations, Payroll, Benefits and vendors to support compliant execution of employee exits.

• Ensure employee exit documentation and payroll inputs are completed accurately and maintained in accordance with company standards and local regulatory requirements.

 

Operational Excellence

• Identify opportunities to improve operational efficiency through process simplification, automation, effective use of AI productivity tools, and digital solutions.

• Contribute to continuous improvement initiatives by supporting implementation of approved process enhancements.

• Develop and maintain Local Work Instructions (LWIs), operational documentation, and knowledge articles.

 

Required Qualifications & Experience:

 

• Bachelor's degree or equivalent experience
• Minimum 3–5 years of experience in HR Operations, Workforce Administration, Shared Services, Payroll Operations, or Benefits Administration.
• Demonstrated experience administering employee leave and absence programs, employee terminations, or severance processes.
• Strong understanding of HR operations, payroll processes, employee data governance.
• Advanced Microsoft Excel skills, including complex formulas, PivotTables, data analysis, and reporting.
• Experience creating or maintaining Excel macros, Power Query solutions, or other automation tools is highly desirable.
• Demonstrated ability to leverage AI productivity tools (such as Microsoft Copilot, ChatGPT, Claude or equivalent) to improve documentation, quality validation, operational efficiency, and knowledge management while maintaining data privacy and governance.
• Ability to work effectively in a fast-paced environment and handle multiple projects and daily planned and unplanned operational activities
• Strong analytical and problem-solving skills with the ability to identify operational improvements.
• Excellent attention to detail and commitment to data quality and compliance.
• Ability to manage multiple priorities while meeting service level agreements and payroll deadlines.
• Strong customer service, communication, and stakeholder management skills.
• Good written and spoken local language and English skills

 

Ideal Candidates Would Also Have: 

• Strong verbal and written communication skills to interact with clients and HR Service Center team members
• Have worked in a multi-cultural/multi-country work environment
• Previous experience working in a shared services environment preferred

 

Please note that this position is not a remote working opportunity and is based in the local BMS office, following a hybrid work model with at least 50% onsite attendance at your assigned facility.

The starting compensation range(s) for this role are listed above for a full-time employee (FTE) basis. Additional incentive cash and stock opportunities (based on eligibility) may be available. The starting pay takes into account characteristics of the job, such as required skills, where the job is performed, the employee’s work schedule, job-related knowledge, and experience. The final compensation will be determined based on demonstrated experience and in accordance with pay equity principles and applicable employment laws.
