Join our team as we transform the lives of others.</p><p></p><p><b>Position Summary:</b></p><p></p><p>The Senior Shipping and Receiving Clerk is a detail-oriented and experienced operations professional who works effectively in a fast-paced, collaborative, and regulated environment. This role is responsible for executing daily shipping and receiving operations, coordinating inbound and outbound logistics, ensuring accurate documentation, and maintaining a safe and organized work environment. The position requires prior experience in a pharmaceutical, biotechnology, life sciences, or similarly regulated industry. The Senior Shipping and Receiving Clerk partners closely with Facilities and Operations teams, vendors, and logistics providers to support compliant, efficient, and cost-effective material movement while adhering to all applicable safety and regulatory requirements.</p><p></p><p><b>Essential Job Functions and Responsibilities:</b></p><p>These may include but are not limited to:</p><ul><li>Manage and track incoming and outgoing shipments to ensure accuracy, timeliness, and regulatory compliance.</li><li>Assemble, package, and prepare materials, supplies, and documentation for shipment in accordance with handling requirements.</li><li>Review, and maintain shipping documentation including packing lists, air waybills, and customs documentation when applicable.</li><li>Open and inspect incoming packages, verify received goods against purchase orders (POs), receive items into the Coupa system, and promptly report or resolve discrepancies.</li><li>Notify recipients of received packages and facilitate efficient pickup by clearly labeling packages and communicating their location.</li><li>Coordinate with logistics providers to support efficient deliveries, cost awareness, and compliance with vendor-specific shipping and handling requirements, including cold storage or temperature-controlled materials.</li><li>Utilize FedEx Ship Manager (or similar systems) to process parcel shipments and generate required shipping documents, including invoices and customs forms when applicable.</li><li>Follow all safety protocols and regulatory requirements, including Good Laboratory Practices (GLPs), and adhere to special handling instructions for hazardous, perishable, or temperature-sensitive materials.</li><li>Maintain accurate, complete, and organized records of all shipping and receiving transactions in accordance with company policies.</li><li>Maintain a clean, organized, and safe shipping and receiving area in accordance with safety and cleanliness standards.</li><li>Support Facilities operations by monitoring inventory levels, assisting with ordering and stocking consumables, and preparing basic reports as needed.</li><li>Perform other Facilities-related duties as assigned.</li></ul><p></p><p><b>Education and Experience:</b></p><p><u>Required:</u></p><ul><li>High school diploma or equivalent (Associate’s degree in logistics, business, or a related field preferred).</li><li>4 or more years of shipping and receiving experience in a pharmaceutical, biotechnology, life sciences, medical device, or regulated environment.</li><li>Proficiency with FedEx Ship Manager or similar shipping software.</li><li>Strong attention to detail and accuracy, with the ability to manage and prioritize multiple tasks.</li><li>Ability to exercise good judgment and work independently when required.</li><li>Knowledge of shipping regulations, hazardous materials handling, and current Good Laboratory Practices (GLPs).</li><li>Excellent written and verbal communication skills for coordinating with internal teams and external partners.</li><li>Basic understanding of logistics, freight management, and shipping cost awareness.</li><li>Basic knowledge of general office equipment and proficiency with Microsoft Office (Outlook, Word, Excel).</li></ul><p></p><p><b>Preferred Qualifications:</b></p><ul><li>Familiarity with Coupa or other inventory and procurement systems.</li><li>Experience handling temperature‑sensitive, perishable, or regulated materials.</li><li>Knowledge of international shipping procedures and customs documentation.</li></ul><div></div><p><b>Physical Requirements:</b></p><ul><li>Ability to stand, bend, and lift for extended periods.</li><li>Ability to safely handle packages of varying weights, up to 50 lbs.</li><li>Ability to work in a warehouse or shipping environment with varying temperatures.</li></ul><div></div><p><b>Work Environment:</b></p><ul><li>Fast‑paced, team‑oriented environment.</li><li>Standard warehouse conditions with exposure to shipping equipment, forklifts, and various shipping materials.</li><li>Compliance with all applicable health and safety regulations is required.</li></ul><p></p><p><b>Physical Demands and Work Environment:</b></p><p><u>Physical Activities:</u> On a continuous basis, sit at desk for a long period of time; intermittently answer telephone and write or use a keyboard to communicate through written means. Some walking and lifting up to 50 lbs. may be required. The noise level in the work environment is typically low to moderate.
