Responsibilities:
Track project tasks, deliverables, and achievements within the project and portfolio management tool.
Monitor timeliness of project schedules, flagging risks and delays proactively.
Organize and schedule project meetings, collaborator reviews, and cross-functional discussions.
Prepare presentation materials, meeting agendas, and status reports for R&D and cross-functional groups.
Serve as a liaison between project managers, technical teams, and business collaborators.
Provide administrative support for R&D project teams, including resource coordination and logistics.
Manage project-related paperwork and ensure proper filing and accessibility of key documents.
Support financial monitoring and reporting for project-specific R&D tax credits.
Ensure relevant collaborators are informed of project status, risks, and changes that may impact timelines or deliverables.
Facilitate clear and consistent communication across departments to maintain alignment.
Stay informed on common approaches in project coordination and R&D to enhance team performance.
Minimum Requirements:
Education
Minimum: Associates degree in Business, Engineering, Project Management, or a related field.
Preferred: Bachelors degree in Business, Engineering, Project Management, or a related field.
Certifications (Preferred): CAPM, PMP, PMI-ACP, or Lean/Six Sigma.
2–4 years of experience in project coordination or PMO assistance within R&D, product development, engineering, or operations.
Proficiency with project/portfolio management tools (e.g., MS Project, Smartsheet) and MS Office (Excel, PowerPoint, Teams/SharePoint).
Experience tracking tasks, achievements, preparing agendas, meeting minutes, and status reports.
Strong verbal and written communication skills; ability to coordinate between project managers, technical teams, and collaborators.
Ability to handle several priorities at once, keep precise records, and assist with financial monitoring.
Familiarity with R&D tax credit documentation and basic financial literacy.
Experience in medical devices, biotech, or regulated industries (FDA, ISO 13485, design controls).
Expertise in PPM platforms (Planisware, Smartsheet Control Center) and BI tools (Power BI, Tableau).
Contributions to PMO playbook development or operational excellence initiatives.
