We are looking for a Project Coordinator – Language Specialist who combines strong project coordination and organizational capabilities with proficiency in German, French, Spanish, or Japanese, in addition to English.

Language Requirement – A Key Part of This Role

We are specifically looking for candidates who are proficient in at least one of the following languages:

German | French | Spanish | Japanese

In addition, candidates should possess strong English written and verbal communication skills.

Candidates with recognized language qualifications or B2-level proficiency or above (or equivalent) are preferred.

About the Role

As a Project Coordinator – Language Specialist, you will provide administrative and technical support to global project teams, independently planning, organizing, and coordinating assigned responsibilities.

You will support initial study setup and ongoing study maintenance, maintain systems and database repositories, complete data entry, prepare reports, and collect data for analysis and review.

You will also contribute to audit readiness, risk management, process improvement initiatives, and effective communication across project teams. Depending on your experience and assignment, you may act as a key point of contact for the Project Lead (PL) or Clinical Team Manager (CTM) and provide coordination support to junior Project Support Coordinators.

What You’ll Do

• Coordinate, oversee, and complete assigned clinical trial activities in accordance with the applicable task matrix.
• Support the initial study setup and ongoing maintenance of study-specific systems, tools, trackers, and documentation.
• Perform department, internal, country, and investigator file reviews as assigned, document findings, follow up on resolutions, and escalate issues when necessary.
• Ensure assigned activities are completed on time, within budget, and according to established quality standards.
• Support study-specific documentation and maintain key trackers, including study team lists, project-specific training requirements, system access management, and project-level activity plans.
• Provide support for clinical trial systems such as CTMS, Oracle Activate, and eTMF, including access requests, study-level document tracking, audit readiness, and follow-up on non-compliance.
• Coordinate and organize client and/or internal meetings, including scheduling, preparation and distribution of meeting minutes, and follow-up on action items where required.
• Export and reconcile study metrics reports and, where applicable, analyze information and identify potential issues.
• Maintain vendor trackers and regularly review information for accuracy and completeness.
• Coordinate the compilation of Investigator Site File (ISF) templates and pharmacy binders under the guidance of the Clinical Team Manager.
• Participate in Kick-Off and Project Launch meetings, take meeting notes when required, and support initial study setup.
• Identify potential project risks or issues in a timely manner and escalate them to the appropriate stakeholders.
• Contribute to functional and cross-functional initiatives focused on process improvements and operational enhancements.
• Where applicable, support onboarding and training of new team members and provide coordination support to junior colleagues.

Education & Experience

• High/Secondary School Diploma or equivalent, along with a relevant formal academic or vocational qualification.
• Technical positions may require an appropriate certificate.
• Previous experience providing the knowledge, skills, and abilities required to successfully perform the role.
• An equivalent combination of education, professional training, and directly related experience may also be considered.

Language Skills

Required/Preferred Language Capability:

• Strong written and verbal communication skills in English, AND
• Proficiency in at least one of the following:
  • German
  • French
  • Spanish
  • Japanese
• B2 level or above, or equivalent professional proficiency, is preferred.
• Ability to communicate confidently and professionally with colleagues and stakeholders in a global environment.

• Ability to develop and maintain working knowledge of applicable country regulations, where required, ICH Good Clinical Practice (GCP), and applicable organizational/client SOPs and working practice documents.
• Strong computer skills, including proficiency in Microsoft Office (Word, Excel, and PowerPoint).
• Ability and willingness to learn relevant clinical trial systems and technologies.
• Good presentation skills.
• Ability to successfully complete required organizational training programs.
• Self-motivated with a positive attitude and strong interpersonal skills.

Working Conditions & Environment

• Work is primarily performed in an office or clinical environment with exposure to standard electrical office equipment.
• Occasional travel or visits to site locations may be required.
