The Order Management Specialist is responsible for accurately processing and managing customer orders from initial entry through fulfillment, shipment, and invoicing. The position monitors order status, identifies and resolves exceptions, and provides timely communication to customers and internal partners. Working closely with customers, Sales, Supply Chain, Logistics, Finance, IT, and Operations, the specialist supports order accuracy, on-time delivery, customer satisfaction, and continuous improvement across the order-to-cash process.

The Order Management Specialist reports to the Manager of Customer Experience and is located at the EcoWater Systems head office in Eagan, MN.

Overall Responsibilities

Order Management

• Process and manage customer orders accurately from entry through fulfillment and invoicing.
• Take and return calls from customers regarding status of their orders
• Reviewing orders for pricing, terms, availability, freight, and customer-specific requirements
• Managing order holds, changes, cancellations, returns, shortages, and back-orders
• Investigating discrepancies involving pricing, quantities, shipments, or invoices
• Maintaining accurate customer, product, and shipping information
• Documenting root causes and recurring order issues
• Escalating supply or delivery risks based on defined criteria
• Partner with Sales, Supply Chain, and Logistics to resolve order discrepancies and ensure on-time delivery.
• Monitor order status, inventory levels, and shipment details to proactively communicate with internal and external partners.
• Support continuous improvement initiatives related to order accuracy, lead time, and customer satisfaction.

Cross-Functional Collaboration

• Partner with IT, Finance, Supply Chain, Sales, and Operations to align order processes and resolve issues efficiently.
• Support end-to-end order-to-cash processes, including order entry, fulfillment coordination, invoicing, and customer communication.
• Contribute to cross-functional projects focused on process standardization, service improvement, and operational efficiency.

Qualifications, Skills, Competencies

Required qualifications.

• High school diploma or equivalent
• 1+ years of experience in order management, customer service, sales operations, or a related operations role.
• Strong working knowledge of ERP system.
• Proficiency with Microsoft Excel, Word, Teams, Outlook, and related business applications
• Ability to manage detailed transactions and competing priorities
• High attention to detail and commitment to order accuracy and customer service.
• Excellent communication, problem-solving, and organizational skills.
• Ability to work cross-functionally and manage multiple priorities in a fast-paced environment.

Preferred qualifications

• Associate or bachelor’s degree in business, Supply Chain, or a related field preferred.
• Experience with Epicor
• Complete order-to-cash processes

Working Conditions

Hours of work will generally be during regular business hours with at least 40 hours a week but may vary according to special projects, deadlines or other concerns. The position is in the Eagan MN office up to 5 days per week. No routine travel is expected.

Pay Range:

24.30 - 29.70
