Meeting Planner, Specialty Programs, Meetings & Events

Specialty Networks is part of Cardinal Health's Pharmaceutical and Specialty Solutions segment and is an integrated multi-specialty platform with GPOs, life sciences, and research solutions in urology, gastroenterology, and rheumatology. Their solutions include patient population health management, patient engagement, clinical research, and workflow automation technologies to achieve Center of Excellence in Standards of Care, Clinical Research, Practice Operations, and Value-based Care.   

The Meeting Planner, Specialty Programs supports the planning and execution of meetings, events, and educational programs for Specialty Networks. This role partners closely with the Specialty Programs Meetings & Events team to coordinate attendee registration, travel, accommodations, venue logistics, speaker and healthcare professional (HCP) engagement, and onsite event operations. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment while ensuring compliance with pharmaceutical industry regulations and transfer of value (TOV) requirements.

Responsibilities

• Support the planning and execution of Specialty Networks meetings and events, including registration, travel coordination, hotel accommodations, audiovisual needs, and food and beverage arrangements.
• Collaborate with internal stakeholders and external partners through regular planning meetings; assist with agenda development, meeting documentation, and action item tracking.
• Manage travel-related activities before, during, and after events, including travel coordination, expense reconciliation, reporting, and HCP spend tracking.
• Ensure compliance with pharmaceutical industry regulations, transfer of value (TOV) reporting requirements, and company policies.
• Utilize Cvent and related event management tools to manage registrations, travel requests, hotel rooming lists, attendee communications, reporting, and mobile event applications.
• Coordinate HCP contracting and payment processes, ensuring timely execution, accurate reporting, and compliance with applicable guidelines.
• Prepare, organize, and coordinate event materials, including printing, packing, shipping, and inventory management.
• Provide onsite meeting support, including registration management, attendee assistance, venue coordination, food and beverage oversight, and general event logistics.
• Maintain accurate event records, budgets, and reconciliation documentation.
• Support continuous process improvement initiatives to enhance attendee experience and operational efficiency.

Qualifications

• Bachelor’s degree in related field, or equivalent work experience, preferred
• 2+ years’ experience in meeting planning, event coordination, hospitality, customer service, or a customer-facing role, preferred.
• Proficiency in Microsoft Excel and Microsoft Office applications.
• Strong organizational skills with exceptional attention to detail and accuracy.
• Excellent written, verbal, and interpersonal communication skills.
• Strong problem-solving skills and a proactive, customer-focused approach.
• Demonstrated ability to manage multiple projects, prioritize tasks, and meet deadlines in a fast-paced environment.
• Experience with Cvent or a similar event management platform, preferred.
• Experience with event budgeting, reconciliation, and reporting processes, preferred.
• Ability to travel up to 35%, including occasional nights and weekends.

Anticipated salary range: $57,000 - $81,600
