The Managing Director Assistant / Program Coordinator will partner closely with the Romania Managing Director (MD) and the Extended Leadership Team to coordinate selected projects and initiatives across the country, ensuring successful planning, rollout, and execution.
In addition, this role will provide high-quality administrative support to the Managing Director and act as a key liaison between internal and external stakeholders.
Key Responsibilities:
Program Management – 70%
Support the Romania MD and country leadership team in ensuring consistency and excellence in the execution of programs at GHH and country level.
Provide effective change management support during the implementation of new structures and operating models, employee engagement initiatives, annual reward and recognition programs, office management activities, cultural transformation projects, and other cross-enterprise projects.
Participate in country leadership team meetings and business reviews, ensuring follow-up actions are captured, tracked, and completed.
Disseminate project information in a timely and accurate manner to all relevant stakeholders.
Actively participate in, or lead, programs as required by business needs.
Communicate regularly and effectively with internal stakeholders to ensure alignment and awareness of ongoing programs and priorities.
Administrative Support to Managing Director – 30%
Provide timely day-to-day administrative support, including scheduling meetings, managing correspondence, and collecting data.
Ensure effective document and records management in line with company policies and procedures.
Maintain accurate and up-to-date contact lists and records.
Organize travel arrangements for team members during group events and off-site meetings, including flights, hotels, and ground transportation.
Proactively prepare internal and external meetings by arranging logistics, preparing meeting materials, and coordinating with facilitators and speakers.
Follow up on meeting outcomes and ensure action items are documented and tracked.
Provide support with procurement and financial systems, including purchase orders, vendor management, and expense reports.
Skills, Knowledge, Qualifications and Experience:
Minimum 3 years of experience in program management and/or project management.
Bachelor’s degree in Finance, Engineering, Psychology, Human Resources Management, Business Administration, or equivalent relevant experience.
Excellent written and verbal English language skills.
Strong knowledge of Microsoft Office applications.
