Wir suchen einen erfahrenen GMP/GDP Compliance Specialist (m/w/d) für unser Team Warehouse & Distribution Operations. In dieser Funktion sind Sie die primäre Instanz für Qualität und Compliance innerhalb unserer Lager- und Distributionsprozesse. Ihr Hauptaugenmerk liegt auf der Bearbeitung von Abweichungen, CAPA-Untersuchungen, der Erstellung von Standardarbeitsanweisungen (SOPs) sowie der Gewährleistung der Audit-Bereitschaft. Damit stellen Sie sicher, dass alle Bestandsführungs- und Materialflussprozesse in strikter Übereinstimmung mit den GMP-, GDP- und regulatorischen Standards ablaufen.

Obwohl Sie eng mit den Teams aus den Bereichen Lagerbetrieb und Materialwirtschaft kooperieren, besteht Ihr Kernauftrag in der Sicherung der Qualitätssysteme, der Einhaltung betrieblicher Vorschriften und der kontinuierlichen Prozessintegrität.

Hauptaufgaben und Verantwortlichkeiten

1. Qualitätssysteme, Untersuchungen & regulatorische Compliance (Hauptfokus ~60%)

• Verantwortung für Abweichungen & CAPA: Eigenverantwortliche Leitung, Untersuchung und Dokumentation von betrieblichen Abweichungen, Ursachenanalysen (Root Cause Analyses) und Korrektur- sowie Vorbeugemassnahmen (CAPA-Pläne) gemäss den GMP/GDP-Richtlinien.
• Koordination kontrollierter Dokumente: Erstellung, Prüfung, Aktualisierung und Harmonisierung von Standardarbeitsanweisungen (SOPs), Arbeitsanweisungen und Qualitätsdokumenten innerhalb der Logistik- und Materialprozesse.
• Audit- & Inspektionsbereitschaft: Funktion als zentraler Qualitätspartner bei internen Audits und Inspektionen durch externe Gesundheitsbehörden; Entwurf von Stellungnahmen zu Audit-Befunden und Überwachung der Umsetzung von Audit-CAPAs.
• Qualitätsmanagementsystem (QMS): Unterstützung bei der kontinuierlichen Pflege und Aktualisierung lokaler QMS-Kapitel, Qualitätsvereinbarungen und Compliance-Standards.
• Reklamationsbearbeitung & Change Control: Koordination von Untersuchungen bei Kunden- und Lieferantenreklamationen sowie Steuerung formeller Änderungsverfahren (Change Controls) bei Anpassungen von Prozessen, Anlagen oder Systemen.
• Compliance-Überwachung: Förderung der GMP-, GDP- und EHS-Konformität direkt im operativen Bereich (Shop Floor) durch regelmässige Gemba-Walks und routinemässige Prozessprüfungen.

2. Operational Compliance & Material Governance (~25%)

• GMP-Prozessintegrität: Überwachung GMP-kritischer Logistikaktivitäten, einschliesslich unabhängiger Freigabe- und Verifikationsprüfungen für Just-in-Time-Neuetikettierungen (JIT Relabelling), Rückstellmusterverwaltung sowie Sperr- und Vernichtungsprozesse.
• Cold Chain & Lager-Governance: Überwachung und Auditierung temperatursensitiver Lagerbereiche, externer Lagerpartner sowie der Protokolle zur Transportüberwachung.
• SAP- & Bestandsführungssysteme: Funktion als Compliance-Verantwortlicher („Gatekeeper“) und Key User für SAP-Lagerprozesse zur Sicherstellung von Rückverfolgbarkeit, Dokumentationsstandards und Bestandsintegrität.
• Lieferanten- & externe Lagerüberwachung: Planung und Koordination von Compliance-Standards für Materialtransfers zwischen internen und externen Vertragslagerstandorten.

3. Operational Excellence & kontinuierliche Verbesserung (~15%)

• Qualitäts- & Leistungsindikatoren (KPIs): Entwicklung, Verfolgung und Präsentation von Kennzahlen bezüglich wiederkehrender Abweichungen, Bearbeitungszeiten von CAPAs, Audit-Befunden und der allgemeinen operativen Qualitätsleistung.
• Prozessoptimierung: Identifizierung von Compliance-Engpässen und partnerschaftliche Zusammenarbeit mit den operativen Teams zur Umsetzung nachhaltiger, richtlinienkonformer Prozessverbesserungen.
• Inspektions- & Projektunterstützung: Leitung oder Unterstützung von Risikobewertungen, Prozesssimulationen und Projekten zur Anlagenvalidierung.

Was Sie mitbringen (Qualifikationen & Anforderungen)

• Berufserfahrung im regulierten Compliance-Umfeld: Nachweisbare Erfolge in einem GMP/GDP-regulierten Umfeld (z. B. Pharmazie, Biotechnologie, Medizintechnik oder Life Sciences).
• Technical Writing & Problemlösungskompetenz: Fundierte Erfahrung in der Erstellung präziser Abweichungsberichte, der Durchführung von Ursachenanalysen (z. B. Fishbone, 5-Why-Methode) sowie im Management von CAPAs und Change Controls.
• Dokumentenmanagement: Erfahrung in der Erstellung und Pflege von SOPs, Arbeitsanweisungen und kontrollierten Dokumenten innerhalb eines etablierten QMS.
• Sprachkenntnisse: Verhandlungssichere Deutsch- und Englischkenntnisse (mindestens Niveau C1 in Wort und Schrift) zur Durchführung technischer Untersuchungen und zur Erstellung formeller Audit-Dokumentationen.
• Ausbildung: Bachelor-Abschluss in Life Sciences, Ingenieurwesen, Supply Chain Management oder eine gleichwertige abgeschlossene Berufsausbildung mit fundierter, langjähriger Berufserfahrung in der Branche.

Wünschenswert / Nice-to-Have:

• Erfahrung im Umgang mit ERP-Systemen (insbesondere den SAP-Modulen WM/EWM/QM).
• Vertrautheit mit GDP-Temperaturüberwachung, Kühlkettenvalidierung oder Erfahrung in der Durchführung von Audits.
• Formelle Zertifizierung in der Ursachenanalyse (Root Cause Analysis), Lean Six Sigma oder als interner Auditor.

Position Summary

We are seeking an experienced GMP/GDP Compliance Specialist to join our Warehouse & Distribution Operations team. In this role, you will be the primary quality and compliance authority within our warehouse and distribution operations. Your main focus will be driving deviations, CAPA investigations, SOP development, and audit readiness, ensuring that all inventory and material handling processes operate in strict compliance with GMP, GDP, and regulatory standards.

While you will partner closely with warehouse operations and material management teams, your core mandate is safeguarding quality systems, operational compliance, and continuous process integrity.

Key Responsibilities

1. Quality Systems, Investigations & Regulatory Compliance (Primary Focus ~60%)

• Deviation & CAPA Ownership: Lead, investigate, and document operational deviations, root cause analyses, and corrective and preventive action (CAPA) plans in accordance with GMP/GDP regulations.
• Controlled Document Management: Author, review, update, and harmonize Standard Operating Procedures (SOPs), work instructions, and quality documentation across logistics and material workflows.
• Audit & Inspection Readiness: Act as a key quality partner during internal audits and external health authority inspections; draft audit responses and oversee the execution of audit CAPAs.
• Quality Management System (QMS): Support ongoing maintenance and updates to local QMS chapters, quality agreements, and compliance standards.
• Complaint Handling & Change Control: Coordinate customer and vendor complaint investigations and manage formal Change Controls for process, facility, or system modifications.
• Compliance Oversight: Champion GMP, GDP, and EHS compliance on the shop floor, conducting regular gemba walks and routine operational reviews.

2. Operational Compliance & Material Governance (~25%)

• GMP Process Integrity: Oversee GMP-critical logistics activities, including independent release/verification checks for JIT relabelling, retain sample management, and quarantine/destruction processes.
• Cold Chain & Storage Governance: Monitor and audit temperature-sensitive storage facilities, external warehouse partners, and transit monitoring protocols.
• SAP & Inventory Control Governance: Act as the compliance gatekeeper and key user for SAP warehouse processes, ensuring traceability, documentation standards, and inventory integrity.
• Vendor & External Warehouse Oversight: Plan and coordinate compliance standards for material transfers between internal and external contract storage sites.

3. Operational Excellence & Continuous Improvement (~15%)

• Quality & Operational KPIs: Develop, track, and present metrics regarding deviation recurrence, CAPA aging, audit findings, and operational quality performance.
• Process Optimization: Identify compliance bottlenecks and collaborate with operational teams to implement sustainable, compliant process improvements.
• Inspection & Project Support: Lead or support risk assessments, process simulation studies, and facility validation projects.

What You Bring (Qualifications & Requirements)

• Experience in Regulated Compliance: Proven track record in a GMP/GDP-regulated environment (e.g., Pharmaceuticals, Biotech, Medical Devices, or Life Sciences).
• Technical Writing & Problem Solving: Demonstrated experience in authoring robust deviations, leading root-cause investigations (Fishbone, 5 Whys), and managing CAPAs and Change Controls.
• Document Management: Experience writing and maintaining SOPs, work instructions, and controlled documents within an established QMS.
• Languages: Strong German and English language skills (both written and spoken, minimum C1 level) for conducting technical investigations and drafting formal audit documentation.
• Education: Bachelor’s degree in Life Sciences, Engineering, Supply Chain, or equivalent completed vocational training/apprenticeship with substantial industry experience.

Preferred / Nice-to-Have:

• Experience with ERP systems (specifically SAP WM/EWM/QM modules).
• Familiarity with GDP temperature monitoring, cold-chain validation, or auditing experience.
• Formal certification in Root Cause Analysis, Lean Six Sigma, or internal auditing.
