The Executive Administrative Assistant is responsible for providing dedicated support to executive leaders and operates with a high degree of autonomy, discretion, and judgment. The Executive Administrative Assistant is expected to anticipate business needs, manage competing priorities, and coordinate activities across senior leadership teams and multiple functions

This position reports directly to the Chief Financial Officer and provides support to the VP of Strategy. As part of the Executive Administration team, the role is based in Waltham, MA and requires on-site presence. 

In this role, you will have the opportunity to:

• Manage executive calendars and complex meeting schedules across multiple time zones, ensuring alignment with business priorities, resolving conflicts, and preparing executives for key interactions.
• Coordinate domestic and international travel, process and reconcile expenses, and ensure compliance with company travel, reporting, and budget policies.
• Serve as the primary coordinator for executive support activities, including leadership meetings, onsite visits, customer engagements, town halls, and special events, while managing logistics, facilities, technology, and visitor support.

The essential requirements of the job include:

• High school diploma or equivalent required
• Minimum of 6+ years of executive administrative support experience supporting senior leaders in a complex corporate environment.
• Demonstrated experience managing executive calendars, travel coordination, expense reporting, and meeting logistics utilizing Microsoft Office 365 applications and related business systems

Travel, Motor Vehicle Record & Physical/Environment Requirements:

• Ability to travel occasionally (up to 10%) in support of executive meetings, leadership events, or business needs.
• Ability to work in an office environment and move between meeting locations as required.
• Ability to lift or carry materials associated with meeting or event setup as needed.

It would be a plus if you also possess previous experience in:

• Supporting senior executives in a global, matrixed corporate environment.
• Coordinating executive travel, leadership meetings, onsite events, and cross-functional business activities.
• Utilizing enterprise systems such as Concur, Workday, SAP, Microsoft 365, Teams, and SharePoint to support executive operations.

The hourly range for this role is $33.00 to $36.00. This is the range that we in good faith believe is the range of possible compensation for this role at the time of this posting. This range may be modified in the future.

This job is also eligible for bonus/incentive pay.
