The Executive Administrative Assistant is responsible for providing dedicated support to executive leaders and operates with a high degree of autonomy, discretion, and judgment. The Executive Administrative Assistant is expected to anticipate business needs, manage competing priorities, and coordinate activities across senior leadership teams and multiple functions

This position reports to the VP of Digital Transformation and IT and will also support IDT General Counsel and the Chief Commercial Officer with their needs listed below. The role is part of the Executive Administration team located in Sunnyvale, CA and will be an on-site role.  

In this role, you will have the opportunity to:

• Provide comprehensive executive support by managing complex calendars, coordinating meetings across multiple time zones, preparing executives for key interactions, and serving as a primary point of contact for leadership activities and events.
• Coordinate domestic and international travel, process and reconcile expenses, monitor administrative expenditures, and ensure compliance with company policies and reporting requirements.
• Lead logistics and operational support for executive visits, leadership meetings, town halls, customer engagements, and special events, including facilities, technology, catering, visitor management, and related services to deliver a seamless and confidential experience.

The essential requirements of the job include

• High school diploma or equivalent required
• Minimum of 6+ years of executive administrative support experience supporting senior leaders in a complex corporate environment.
• Demonstrated experience managing executive calendars, travel coordination, expense reporting, and meeting logistics utilizing Microsoft Office 365 applications and related business systems

Travel, Motor Vehicle Record & Physical/Environment Requirements:

• Ability to travel occasionally (up to 10%) in support of executive meetings, leadership events, or business needs.
• Ability to work in an office environment and move between meeting locations as required.
• Ability to lift or carry materials associated with meeting or event setup as needed.

It would be a plus if you also possess previous experience in:

• Supporting senior executives in a global, matrixed corporate environment.
• Coordinating executive travel, leadership meetings, onsite events, and cross-functional business activities.
• Utilizing enterprise systems such as Concur, Workday, SAP, Microsoft 365, Teams, and SharePoint to support executive operations.

The hourly range for this role is $43.00 to $48.00. This is the range that we in good faith believe is the range of possible compensation for this role at the time of this posting. This range may be modified in the future.

This job is also eligible for bonus/incentive pay.
