Work Flexibility: Hybrid<p style="text-align:inherit"></p><p style="text-align:inherit"></p><p><b><i>Key Activities & Accountabilities </i></b> </p><p></p><p><b><span>1) Timetable management and communication inside the division</span></b></p><ul><li>Coordinate meetings and data in <span>electronic timetables</span> (Outlook)</li><li>Organization of the local divisional meeting and appointments (booking meeting rooms, catering and technical services, guest travel and lodging and logistic details in general)</li><li>Speaking to providers on the phone, via e-mail or in person to enable commercial and marketing activities</li><li>Update mailing lists, onenote, divisional highlights</li><li>Coordinate the relationship among Marketing and Facility or advocate to him/her the shipment and preparation of promotional support materials ( usb, brochures, product catalogue)</li><li>Became the point of contact among the divisions and organization for specific matters related to BUD activities</li><li>Processing and management of invoices for all commercial activities and maintenance of the department budget spreadsheets </li><li>Coordinate organizational activities such as internal Conf call, Webex, Agents training and meetings, agenda, minute and follow up</li><li>Support translations among languages as requested</li></ul><p><b><span>2) Coordinate business trips</span></b></p><ul><li>Coordinate business trip and related BUD activity</li><li>Booking of flights, transfers, train and taxi rides, according to valid country specific cost expenditure <span>guidelines </span></li></ul><p> <b><span>3) Data collection</span></b></p><ul><li>Planning and executing internal events, e.g. monthly Leadership Team Meetings/Calls </li><li>Provide assistance in the organization and operation of internal divisional educational activities</li><li>Supporting the BUD by providing information and analysis, on an ad hoc basis, of commercial activity undertaken by the team</li><li>Consolidate data from multiple sources (ie weekly forecasts) as requested</li><li>Prepare advanced excel sheets and manage data collection from different cources</li></ul><p><b><span>4) Project management</span></b></p><ul><li>Working independently on different projects agreed with the BUD</li><li>Support the business at internal conferences when requested </li><li>Coordinate Onedrive/One note common activity of the team and request from EU</li><li>Coordinate organizational activities external agreement with third party and providers</li><li>Prepare, send and archive yearly letter of budget per BU for agents</li><li>Promote and disseminate Culture Compliance Company (compliance and ethical behavior)</li><li>Satisfy ad disseminate Quality Culture and respect of procedures of the Company giving particular attention to Dl.lgs 81/2008</li></ul><p></p><div><p></p></div><p><b><i>Education </i></b></p><ul><li>Educated to degree level or equivalent</li><li>Ideally an engineering or technology graduate</li></ul><div><p></p></div><p></p><p><b><i>Experience</i></b> </p><p>At least two years in the same role</p><div><p></p></div><p></p><p><b><i>Competencies </i></b></p><ul><li>Fluency in English speaking and writing</li><li>Excellent written and spoken communication skills</li></ul><ul><li>Interpersonal skills</li><li>Multi-task oriented</li><li>Communication skills - verbal and written</li><li>Problem-solving</li><li>Attention to detail and accuracy</li><li>Data collection and ordering</li><li>Adaptability</li><li>Initiative</li><li>Stress tolerance</li></ul><ul><li>Interest in a developing a sales and marketing career</li><li></li></ul><p style="text-align:inherit"></p><p style="text-align:inherit"></p>Travel Percentage: None<p style="text-align:inherit"></p><p style="text-align:inherit"></p><p style="text-align:inherit"></p><p style="text-align:inherit"></p><p></p><p></p><p></p><p></p>
