Associate Director, Medical Operations, Germany

The Opportunity:

The Associate Director, Medical Operations, Germany provides strategic and operational leadership for German Medical Affairs. The role translates the medical plan into an executable operating model, owns the local budget and vendor ecosystem, and partners with European Medical Operations & Project Management to deliver compliant, scalable execution. This person is the senior operational adviser to the German Medical Team and leads complex initiatives across Medical, Legal, Compliance, Finance, Procurement and external partners.

This role will report to the Senior Director, Medical Affairs, Germany.

This position is based in Germany.

Key responsibilities include:

Medical Affairs Operations & Operating Model

• Own the Medical Affairs operating model for Germany and set priorities, governance, ways of working and performance measures.

• Provide final operational oversight for advisory boards, symposia and major medical events, including contracting, budget, compliance and escalation management.

• Lead continuous improvement and regionalization initiatives; identify risks, remove bottlenecks and embed sustainable process changes.

• Translate strategic plans into integrated execution roadmaps.

Budget, Contracts & Vendor Strategy

• Own the German Medical Affairs budget, provide decision-ready insights to leadership.

• Set local contracting and vendor-management strategy, including performance reviews and risk mitigation.

Portfolio & Project Leadership

• Direct the portfolio of Medical Affairs initiatives, ensuring business cases, milestones, resources, dependencies and risks are actively managed.

• Coach project leads and operational colleagues on planning discipline, stakeholder management and execution excellence.

Data, Systems & Compliance

• Set the roadmap for Medical Affairs systems, analytics and automation, including CRM reporting in partnership with the German Commercial SD and relevant European teams.

• Ensure robust oversight of HCP engagement, grants, event processes, with clear controls, records and reporting.

• Partner with Legal, Compliance, Regulatory, Finance and IT to anticipate and manage operational and compliance risks.

Congress & External Engagement Strategy

• Own the operational strategy for German congresses and major external engagements with the European Director, Medical Operations & Project Management.

Required Skills, Experience and Education:

• Advanced degree (MD, Ph.D, PharmD, or relevant life sciences/business degree preferred).

• 8+ years of Medical Affairs operations, project/portfolio management or equivalent experience in biotech/pharma, including leadership of complex cross-functional work.

• Solid understanding of healthcare systems, evidence generation, and medical governance requirements.

• Excellent leadership, strategic thinking, coaching, and stakeholder engagement skills with a patient-focused mindset.

• Ability to work in a fast-paced, evolving environment while managing multiple priorities.

• Proficiency in Medical Affairs systems and analytics (e.g., Datavision, Veeva CRM, medical information databases, grants management platforms).

• Knowledge of industry regulations (PhRMA Code, Sunshine Act, GPP, FDA, ACCME) and how they impact Medical Affairs operations.

• Demonstrated ownership of sizeable budgets, vendor ecosystems and complex contract governance.

• Ability to liaise with cross-functional teams, including Commercial and Sales, Legal, Compliance, Finance, and IT.

• Excellent organizational, communication, and problem-solving skills to manage operations and drive efficiency.

• Strong ability to maintain accurate records and compliance documentation.

Preferred Skills:

• People leadership.

• Experience in oncology or precision medicine is a plus.

• Experience working across German and European Medical Affairs organizations.

• Prior experience working in a fast-paced, matrixed biotech or pharmaceutical environment.

• Familiarity with emerging digital tools for Medical Affairs operations and engagement.
